Sales Workflow settings and role assignment
How to configure your workspace selling mode and control which team members can use Counter Checkout, Sales Orders, or both.
BusinessCopilot supports two selling modes. An Owner sets the workspace-level mode and then assigns the appropriate mode to each role in Roles & Permissions.
Choosing your workspace selling mode
Go to Settings → Sales Workflow to set the workspace mode. Three options are available:
| Mode | Effect |
|---|---|
| Counter Checkout | Only the POS checkout screen is available. The Sales Orders section is hidden for all roles. |
| Controlled Order Release | Only the Sales Order workflow is available. The POS checkout screen is hidden for all roles. |
| Both | Both surfaces are available at the same time. Individual role grants then control which one each team member can access. |
Switching from Counter Checkout to Controlled Order Release (or vice versa) will not delete any existing sales data. Open orders are not affected.
Assigning modes to roles
When the workspace mode is set to Both, each role is granted one or both selling modes independently. Go to Settings → Roles & Permissions, open a role, and look for the Sales Workflow permission group:
| Grant | What it enables |
|---|---|
sales_workflow.counter_checkout | This role can use the POS checkout screen |
sales_workflow.controlled_order_release | This role can create and manage sales orders |
A team member with both grants can switch freely between POS and Sales Orders. A team member with only one grant will see only that surface — the other is hidden from their navigation.
Example setup for a mixed team:
| Role | Counter Checkout | Controlled Order Release |
|---|---|---|
| Owner | ✓ | ✓ |
| Manager | ✓ | ✓ |
| Cashier | ✓ | — |
| Sales Representative | — | ✓ |
Default grants after migration
When the Sales Workflow feature was first enabled on your workspace, BusinessCopilot automatically backfilled appropriate grants based on existing role types:
- Cashier → Counter Checkout only
- Sales Representative → Controlled Order Release only
- Manager → Both modes
- Owner → Both modes (always)
These can be changed at any time in Settings → Roles & Permissions.
Credit approval permission
When releasing goods, payment must fully cover the order total. If a customer requires credit to cover a shortfall, only team members with the Approve Credit permission (part of the Sales Orders group) can grant it. By default this is Managers and Owners.
See Releasing goods for the full payment gate explanation.
