Who can see profit and margin
Profit and margin figures are limited to people with accounting access. Everyone else sees revenue, quantities and counts.
Profit and margin are some of the most sensitive numbers in a business. BusinessCopilot only shows them to people who hold Accounting → View. That is the Owner and the Accountant by default, and anyone else you give accounting access to.
Everyone else still sees what they need to do their job: revenue, quantities sold, number of sales, customers and payments.
What is hidden
For someone without accounting access, these never appear, on any screen or in the data sent to the app:
- the Gross Profit tile on the home page
- profit and margin columns in the sales reports and the sales dashboards
- profit by product, category or brand
- the cost behind a sale line (the figure that would reveal the profit)
- profit and margin columns in report exports
The Profit & Loss report is an accounting report, so only people with accounting access can open it.
This follows the permission, not the job title. If you give a Sales Rep accounting access, they see profit. If you take it away from an Accountant, they stop seeing it.
Giving someone profit access
- Go to Settings → Roles & Permissions.
- Open the role, for example Manager.
- Under Accounting, tick View.
A Manager does not have accounting access by default, so a Manager sees sales figures without profit until you give it to them.
What a Sales Rep sees instead
A Sales Rep sees their own home page, with sales totals and the sales reports, none of which include profit.
