Live updates

Why your calendar, follow-ups and reminders update by themselves when a colleague makes a change.

When a colleague books, moves or cancels an appointment, you don't have to refresh your screen to see it. The Clinical Suite updates itself.

What updates automatically

Four things refresh on their own whenever something changes:

What changesScreens that update
Appointments — booked, rescheduled, cancelled, confirmed, completed, deleted, or a recurring series changedThe calendar, a patient's Appointments tab and dashboard alerts, Recurring & Waitlist, Insights
Follow-ups — created, escalated, completed, cancelled, deleted, or escalated automaticallyFollow-ups, a patient's Follow-ups card and alerts
Reminders — sent, marked as sent, dismissed, or a new one waiting for a personReminders to send, and the count badge
Waitlist — someone added, or a cancellation matches someoneThe waitlist and its alert

It also covers changes nobody typed in: a reminder that goes out automatically, a patient confirming through their link, a recurring series adding its next visits, or a follow-up escalating overnight.

How it works

Your screen is told that something changed — never what changed. It then asks BusinessCopilot for the latest information the normal way. This matters for two reasons:

  • No patient information travels in the update itself. The signal is just "appointments changed".
  • You only ever see what your role allows. The refresh goes through the same permission checks as opening the page yourself.

Several changes in a quick burst — for example a receptionist booking five patients in a row — are combined into a single refresh.

You also get updates for your own changes, so a second screen you have open stays in step.

Which workspace it reaches

Updates only go to people in your own workspace — nobody outside your business ever receives one. Your app only starts listening if your role has View on Patient Engagement (Appointments).

If your connection drops

Nothing to do. If you lose signal or the connection breaks, the app reconnects automatically, waiting a little longer between each try, up to about 15 seconds. As soon as it's back, it refreshes everything in the Clinical Suite, in case something changed while you were disconnected.

The normal periodic refresh still runs in the background as a safety net, and you can always reload the page.

On the mobile app

  • Live updates run while the app is open on your screen. When you switch to another app or lock your phone, the app stops listening — which saves battery.
  • When you come back, it reconnects and refreshes everything in the Clinical Suite straight away.
  • These are updates inside the app. They are not push notifications, so you won't be alerted about a change while the app is closed.

On the Desktop app

The Desktop app updates the same way, as long as it's online. The Clinical Suite doesn't work offline.
