Files on a note

Attach lab results, photos and letters to a clinical note, download them, and how they are kept private.

You can attach files to a clinical note — a lab result PDF, a photo of a wound, a referral letter. Files stay with the note and are private.

What you can attach

File typesPDF, images (JPEG, PNG, WebP) and Word documents (.doc, .docx).
SizeUp to 10 MB per file.
How manyUp to 10 files per note.

BusinessCopilot checks what a file really is, not just its name. A program or a text file renamed to result.pdf is refused.

Adding files

You need Edit on Clinical Notes to add or remove files — and, for a confidential note, Edit on Confidential Clinical Notes too.

When writing a new note: in the Files section, select Add file, choose one or more files, then save the note. They are attached as it saves.

On an existing note: open the note and select Add file in its Files section. Each file uploads straight away.

  • On Web and Desktop a file picker opens; you can choose several at once.
  • On the mobile app your phone's file picker opens.

If one file is refused (wrong type, too large, or the note already has 10), the message names that file and the rest are unaffected.

Downloading

Select the download icon beside a file.

  • On Web and Desktop the file saves to your computer.
  • On the mobile app the share sheet opens so you can save or send it.

Removing a file

Select the bin icon and confirm. The file is deleted permanently and can't be restored.

How files are kept private

  • There is no link to a file. Files are never shared by a web address. The only way to get one is through the app, and every request checks that you're allowed to see the note it belongs to.
  • Confidential notes are stricter. Someone without confidential access can't download their files — and each download by someone who can is recorded in the Activity feed (see Confidential notes).
  • Files live in their own private storage, separate from product photos and other uploads, which are meant to be viewable.

When a note is deleted

  • Deleting a note moves it to the Recycle Bin with its files kept, so restoring it brings everything back.
  • Permanently deleting it from the Recycle Bin deletes its files too. It can't be undone.

If something goes wrong

  • "File storage isn't available right now." The private storage isn't reachable. Notes still work; try adding files again later, or contact support if it continues.
  • "that file doesn't look like a real … file" The file's contents don't match its type. Re-export it (for example, save the PDF again) and retry.
